How to prepare a speaker headshot for a media kit

Provide a current portrait, a clear filename and simple usage guidance. Organisers should not have to guess which version or credit you want them to use.

Prepare practical variants

Include a wider original and a useful portrait crop if requested. Keep enough room around the face for programme layouts and avoid a background that competes with event text.

Package the asset clearly

  1. Name the file with your name and version date.
  2. Include the photographer credit when required.
  3. State any relevant permission limits.
  4. Pair it with an up-to-date biography separately.

A low-resolution avatar copied from a social profile may not work in a printed programme. Sending the original approved asset avoids unnecessary enlargement and poor crops.

Review before reuse

Update the kit when your appearance or professional title changes materially. Do not assume an organiser will find the latest version online. A concise, controlled media kit reduces mismatched names, old photographs and credit errors without requiring a complicated publishing system.
